Job Description:
We're looking for a Design Operations Specialist II to support our design team's day-to-day operations. In this role, you’ll help improve how we work together by assisting with process updates, maintaining simple workflows, helping with team tools, and making sure key information is clear and easy to find. You’ll play a key part in reporting and keeping things running smoothly and supporting the team in staying organised and aligned.
Key Responsibilities:
- Configure and manage JIRA projects, workflows, fields, screens, permission schemes, and automation rules.
- Collaborate with IT/DevOps to customise JIRA setup for design-specific needs (e.g., intake forms, review stages).
- Design and maintain JIRA dashboards for leadership and team-level reporting.
- Define, track, and report on key performance indicators (KPIs) related to design delivery, throughput, quality, and engagement.
- Produce regular reporting on project health, team capacity, and operational metrics for executive stakeholders.
- Diagnose and resolve issues related to JIRA's functionality, performance, or configuration.
- Act as liaison between Design, Product, Engineering, and Operations teams.
- Drive alignment on timelines, dependencies, and shared goals.
- Support onboarding, training, and enablement of new team members with JIRA best practices.
- Proactively identify risks, unblock teams, and manage dependencies to maintain delivery cadence and uphold quality across all design initiatives.
- Establish and maintain scalable design processes, workflows, and best practices to ensure teams can focus on delivering high-quality design work with clarity and speed.
Qualification:
- 3-4 years of experience in a Design and Learning Operations or a related operations role.
- Proven experience with JIRA administration and customisation for large teams.
- Strong analytical mindset with experience in reporting and dashboard creation (JIRA, Confluence, Airtable).
- Deep understanding of Agile and Product Development Life Cycles (PDLC).
- Exceptional organisational and communication skills; able to manage multiple priorities.
- Experience working with creative, UX, or design teams is highly preferred.
- Familiarity with tools like Confluence, Figma, Miro, and Slack.
Preferred Qualifications:
- Atlassian Certification (JIRA Administrator or similar)
- Experience with capacity planning tools or resource management frameworks
- Background in change management or team enablement
