About the Job
Hybrid (3 days onsite, 2 days remote) – Brisbane, CA
We're looking for a detail-oriented professional to support employment-based immigration processes. This role involves preparing visa documentation, assisting with case management, and ensuring a smooth experience for both employees and internal stakeholders. You'll also help maintain accurate records and improve internal workflows.
Responsibilities
Prepare and manage multiple employment-based visa petitions (e.g., H-1B, H-1B1, TN, E-2, E-2, and L-1) with minimal supervision.
Conduct detailed document reviews and provide clear guidance to employees on next steps.
Collaborate closely with HR and other internal stakeholders to gather case-related information and provide timely updates.
Triage, process, and organize incoming mail, including correspondence from government agencies.
Upload and track documents in relevant systems; maintain accurate and up-to-date candidate records.
Proactively identify and troubleshoot issues that may arise during the immigration process.
Assist employees with immigration-related inquiries and maintain confidentiality in all case matters.
Help test and give feedback on new features in our document preparation platform.
Handle general administrative support tasks, including scanning, tracking packages, and payment requests.
Provide end-to-end relocation support for employee transfers, coordinating all travel and lodging requirements, including flight scheduling, hotel reservations, and related accommodations.
Review and approve expenses associated with the employee transfer program.
Prepare and complete Public Access File documentation for each case.
Provide employees with employment verification letters for travel, new employment, and all other purposes.
Ensure job descriptions are regularly reviewed and updated in collaboration with all departments to maintain accurate, up-to-date information.
Ensure HR knowledgebase articles are up to date and referenced wherever applicable.
Monitor I-9 reverification reports and ensure all documentation is within expiration dates.
Ensure that administrative stakeholders responsible for employee lifecycle events complete relevant tasks and communicate with employees in a timely manner.
Ad hoc support may include projects with a focus on improving employee lifecycle processes (onboarding, appraisals, transitions, offboarding, and leaves)
Organize efforts to consolidate and share quarterly People team updates.
Provide onboarding and orientation support on an as-needed basis.
Must Have
- Bachelor's degree
- Exceptional attention to detail, especially in writing
- Strong organizational and problem-solving skills
- Excellent written and verbal communication skills
- High level of reliability, autonomy, and accountability
- Comfortable with managing multiple priorities across projects with demonstrated ability to context switch quickly
- Experience with HRIS, Google Suite, Microsoft Office Suite, particularly Excel, with some familiarity with advanced functions
Nice to Have
- Familiarity with basic employment laws and regulations
- Familiarity with a wide range of employment-based visas (e.g., H-1B, H-1B1, TN, E-3, E-2, L-1)
- Previous experience in an immigration law firm, legal ops team, HR administration, or similar role
- Experience working at an early-stage startup or high-growth company. Interest in AI tools and legal tech platforms
- Odoo knowledge- a huge plus

The estimated annual compensation range for this role is $60,000-$80,000. Please note that actual salaries may vary within, above, or below this range based on factors such as education, training, experience, professional achievement, business needs, and location.
