We are looking for a proactive and resourceful Executive Assistant to support an Engineering VP and Product Management Sr Director and their staff in Amsterdam and Berlin. You will be a key supporting member of the EMEA R&D organization, helping leadership scale with the rapid growth of the team and increasing demands on their time. You will help keep the growing multiple-team sites cohesive and connected to leadership through internal events, and will contribute to Databricks’ in-region community and employer profile through external events. You will also provide light office management support for Berlin until the site grows large enough for a dedicated office manager. The impact you will have:
Manage calendars of R&D Directors & VP with multiple requests and priorities. Exercise judgment, collaborate to resolve conflicts, work to deadlines, manage daily change and seeing beyond the day-to-day
Schedule logistics for meetings, conferences and special events, both onsite and offsite, often including stakeholders across time zones.
Work with leaders to ensure they are adequately prepared for meetings, interviews and travel (including time management, assembling briefing materials, tracking actions and agenda)
Ensure Berlin site day-to-day operational needs are met, liaising with local vendors and Databricks EMEA facilities and IT teams
Work with R&D Directors and VP in Amsterdam and Berlin to build site specific programs & events to build a strong internal team cohesion and external community engagement & awareness [i.e.,recruiting events, comms events / meetups, office activities]
Contribute to the Admin/Ops team by engaging with colleagues to support planning for meetings, off-sites, events, projects, and professional growth
Core administrative duties (e.g. arranging signatures, executive gifting, handling official documents and correspondence, expenses management)
Provide backup support for other executives
What we look for:
6+ years of applicable administrative experience, in a global hardware/tech/software organization. Experience in an operational role [office manager, PO approvals, Recruiting, Events] is valued in addition to administrative experience
Experience supporting senior technical management in a fast paced environment
Experience running events/offsites [virtual/physical/comms] for leadership/directors/VPs
Experience with the setting up and management of virtual meetings and tools e.g., Zoom, Google Meet, Teams)
Proficiency in using Google Suite and/or Office Suite
Confidence to make appropriate decisions and offer suggestions to improve processes.
Ability to build a personal network throughout the company and collaborate effectively.
Fluency in English is required, German and/or Dutch are desirable.
This is a 80% or full-time role based in Amsterdam, with 3 days in the office each week. The ability to travel to Amsterdam for a few days every couple months is also required.
